How to track PDF views and share a proposal with more control

Go beyond the attachment. Share a controlled link, understand document activity, and know what analytics cannot establish.

You sent a proposal and need to know what to prepare for the next conversation. An ordinary PDF attachment gives the recipient a copy, but it does not reliably tell you which pages they viewed. A controlled share link creates a place to review the document and manage future access.

This guide covers the practical setup, the report you can use, and the limitations that keep document tracking useful. The aim is a better handoff and a more relevant discussion, not a claim that a dashboard can read someone’s mind.

An attachment is a file delivered to the recipient. They can save it, open it in a local reader, forward it, or review it without a network connection. A sender does not automatically receive a callback every time those actions occur. Adding an email-open pixel does not turn the PDF into an instrumented document.

A hosted viewer works differently. The recipient opens a share link in a web browser, and the viewer can report the content it renders. The analytics apply to that controlled viewing experience. They do not extend to arbitrary PDF readers or to a downloaded file’s future offline use.

Share a tracked proposal in Elite Mail Suite

  1. Open Document analytics and upload the PDF.

  2. Create a share link for the intended recipient.

  3. Set an access window and decide whether downloads should be available.

  4. Add a watermark if it is appropriate to the handoff.

  5. Test the viewing experience, then send the link with a clear description.

Use a separate recipient-scoped link when separate attribution matters. A single shared link can mix activity from different people, and forwarding can complicate even a recipient-scoped report. Where identity must be verified, use an access method that authenticates the recipient rather than assuming possession of a link proves identity.

Read sessions and page activity in context

Elite’s viewer can report sessions, pages rendered, estimated time, and downloads supported by the sharing route. These details help you prepare. A page that was never rendered may need a clearer signpost; a section receiving repeated activity may be worth discussing.

Duration needs care. A tab left open can inflate time, and a quick reader may understand a short page without a long session. Rendering a page does not establish that each sentence was read. Downloads record access to a copy rather than the recipient’s future use of it.

Compare activity with the actual reply, meeting notes, and the project status. The same viewing pattern can reflect enthusiasm, disagreement, internal review, or a colleague helping evaluate the proposal. Analytics cannot choose between those explanations on their own.

Choose access controls for the real handoff

  • Expiration: limit the period during which the hosted link is available.
  • Revocation: stop future access when the project or recipient changes.
  • Download settings: decide whether a copy should be available from the viewer.
  • Watermarking: label the document for the intended recipient or context.
  • Recipient access: use the available identity controls when the material requires them.

A watermark labels a document; it does not prevent every screenshot or copy. Revocation blocks future access through the hosted route; it cannot erase a file someone already downloaded. Be explicit about these limits when choosing how to share sensitive work.

Before sending, review the document itself. Remove internal comments, draft pricing, hidden pages, and personal data that the recipient does not need. Access controls cannot fix a document that contains the wrong information. Use your organization’s approved sharing process for regulated or particularly sensitive material.

Make the report part of the proposal review cycle

  1. Agree on a review date when sharing the proposal.

  2. Check the viewer experience and access window before that date.

  3. Review activity alongside any questions the recipient has sent.

  4. Prepare one relevant clarification for the follow-up.

  5. Revoke or adjust access when the work moves to a new phase.

Keep revisions clear. If you create a new version or link, say what changed and which version should be reviewed. A recipient should not have to reconcile three nearly identical PDFs to answer a simple question.

Frequently asked questions

Can I track a PDF attached directly to an email?

A normal attachment does not reliably report its later viewing activity. Share through a supported tracked web viewer to record sessions and content rendered there.

Can I track a downloaded PDF offline?

No. Offline viewing of a downloaded copy is outside the hosted viewer, so those page views cannot be reported through the share link.

Does revoking a document link remove downloaded copies?

No. Revocation stops future access through that link. It cannot recall a file the recipient has already saved or prevent every screenshot.
