Templates, snippets, and reusable content

Create reusable messages, personalize them with merge fields, organize versions, and insert them safely.

The Templates workspace is a reusable content library. Content types serve different jobs:

  • Template: a complete reusable message with an optional subject and body.
  • Snippet: a smaller reusable block inserted into another message.
  • Signature content: reusable sign-off content in the outreach library; designed email signatures have their own builder.

Create content

Open Templates, choose the type, give it a recognizable internal name, add a subject for templates, and write the body. Save it to the library. The current version is displayed with each item so teams can understand which revision is active.

Use folders and tags where available to organize content by team, stage, language, or use case. Prefer names such as “Renewal reminder — 30 days” over “Template 4.”

Personalization variables

Use merge expressions such as:

Hi {{first_name|there}},

I wanted to share an idea for {{company|your team}}.

The value before | is the contact field; the value after it is a fallback. Custom fields can use forms such as {{custom.industry}}. Every campaign recipient is rendered independently.

Always provide a natural fallback for fields that may be empty. Preview or review rendered campaign messages before launch; a syntactically valid merge field can still produce awkward copy.

Use content

Insert a template or snippet from the extension compose tools when Settings → Inbox → Compose tools is enabled. Campaigns can use library content as the basis for individualized sequences. Editing library content does not rewrite emails already sent.

Practical limits

  • Templates do not guarantee formatting across every mail client; table-based, inline-styled content is safest.
  • Plain text cannot preserve rich layout, images, or tracked HTML links.
  • Personalization depends on contact data quality.
  • A template is not a campaign: it stores content but does not choose recipients, schedule sends, apply suppression, or stop on reply.
