Workflows, reminders, and scheduled sends
Use the priority inbox, conditional follow-ups, scheduled queue, and automation history.
Workflows turns tracking and mailbox events into a focused action list. Its summary shows Hot now, Revived, Replies, Follow-ups, and Scheduled counts.
Priority inbox
Conversation priority lists subject/recipient, engagement stage, opens, clicks, replies, and last activity. Use it to decide where personal attention is most useful.
- Mute 7 days suppresses conversation notifications temporarily.
- Unmute restores them.
- Stop tracking ends future tracking and cancels pending reminders for the message after confirmation. Historical events remain.
“Hot” and “revived” are behavioral workflow labels, not proof of purchase intent. Review the underlying events and relationship context.
Conditional follow-ups
Reminders are created from supported compose or conversation controls with a due condition, such as not opened or no reply. The Reminders view shows subject, condition, due time, and state.
Snooze moves an eligible reminder one day forward. Cancel prevents it from firing. A reminder does not itself send an email unless it belongs to a separate configured campaign/automation path.
Scheduled sends
Scheduled sends show provider, scheduled time, status, and the most recent error. Cancel an unsent item when plans change. Scheduling depends on the connected provider/queue; the recipient's time zone is not automatically inferred unless explicitly used by that workflow.
Activity
Workflow activity records hot-interest, revival, reply, reminder, and scheduling events. Use it to audit why a conversation entered a workflow state.
Limits and safeguards
Privacy proxies and scanners should not trigger likely-human workflow actions. Provider outages or revoked access can delay/fail scheduled work. Replies and opt-outs stop campaign follow-ups when detected, but detection can lag provider synchronization; review high-stakes sends manually.
